Call for applications for an A2A – Junior Administrative Management Officer position within the Finance Unit, as part of the Procurement Team. Application deadline: 11 August 2026 at 3:00 p.m.

About the Unit / Group

The Finance Department is responsible for planning, managing and controlling the financial resources of the Fundació Institut de Recerca de l’Hospital de la Santa Creu i Sant Pau, with the aim of supporting the development of high-quality research.

The Department provides timely, accurate and reliable financial information, manages the procurement needs of research staff and ensures compliance with applicable regulations and the protection of the Institute’s assets.

The Finance Department comprises three areas: Accounting, Controlling and Procurement.

The selected candidate will join the Procurement Team and contribute to achieving the area’s main objectives, particularly the efficient management of purchases, ensuring that materials and services are obtained at the appropriate time, at competitive prices, to high quality standards and in compliance with applicable regulations.

Essential requirements

  • Minimum qualification required: advanced vocational training qualification —Advanced Vocational Training, FPII or an equivalent qualification—.
  • Demonstrable professional experience.
  • Oral and written knowledge of both official languages of Catalonia. Catalan language proficiency at C level is required. Candidates who do not meet this requirement must demonstrate or commit to acquiring an adequate command of both official languages of Catalonia within a maximum period of one year.
  • Intermediate knowledge of office software tools —Excel, Word, PowerPoint, etc.—.

The following will be considered an asset

  • Previous experience using Fundanet or iFundanet.
  • Previous experience in research centres.
  • Previous experience in procurement departments.
  • Previous experience carrying out general administrative duties.
  • Intermediate level of English.
  • Flexibility and initiative.

Duties

The selected candidate will carry out, among others, the following duties:

  • Managing and processing purchase requests submitted by research staff and support units.
  • Advising internal staff on current procurement and contracting procedures.
  • Supporting users in placing orders through iFundanet.
  • Liaising with national and international suppliers.
  • Requesting and comparing commercial quotations, ensuring compliance with the principles of efficiency, transparency and competition.
  • Issuing and monitoring purchase orders.
  • Monitoring the status of orders pending delivery and resolving delivery-related incidents.
  • Coordinating with suppliers and internal users to ensure the correct receipt of contracted materials and services.
  • Recording and validating delivery notes and other documentation associated with purchases.
  • Verifying consistency between purchase orders, delivery notes and invoices.
  • Managing invoicing incidents and supporting the invoice approval process.
  • Maintaining and updating the supplier database.
  • Supporting the preparation and processing of minor procurement files and other purchasing procedures.
  • Ensuring compliance with internal regulations, funding-body requirements and applicable procurement and contracting legislation.
  • Preparing reports, indicators and statistics on procurement activity.
  • Filing and managing the administrative documentation of the Procurement Unit.
  • Contributing to the continuous improvement of administrative and procurement procedures.
  • Carrying out general administrative tasks related to the Unit.

What we offer

  • Permanent contract.
  • Annual working time of 1,627.50 hours —37.5 hours per week—.
  • Salary in accordance with the applicable collective agreement.
  • Appointment within the Finance Management Unit.
